An expensive ATS renewal deserves a fresh buying decision. Check the notice deadline, separate price changes from changes in your workforce or plan, and compare the cost of staying with the first year after switching. For a small hiring team that needs jobs, candidate communication, reviews and scheduling, Kit offers a concrete alternative: $8 per paid teammate per month, or $80 per year, before tax. It becomes the answer when the required workflow passes a trial and the transition costs still leave a useful saving.

The transition needs to work. A cheaper subscription does not recover missing interview notes, reconnect an essential HR integration, or keep a live candidate conversation moving by itself. This guide examines 24 ATS products across the US and EU market, then turns the renewal quote into a decision you can defend.

The research snapshot is **6 October 2026**. Vendor pages and published terms establish offers and contractual possibilities; they do not establish what every customer pays or whether every renewal increased. Your signed order and applicable contract version determine your own position.

## Why can an ATS renewal become expensive?

The total can rise because the underlying rate changes, a discount ends, the company moves into a larger employee band, paid access grows, or new modules enter the order. Ask the vendor to itemize those changes against the current contract.

There are specific published mechanisms worth checking. [Workable's March 2026 terms](https://www.workable.com/terms) permit a renewal adjustment of up to 5% against the preceding price list for the same plan, with advance notice. Company size, add-ons and services can affect the fee separately. This is permission in published terms, not evidence that Workable increased every account by that amount.

[Personio's August 2026 terms](https://www.personio.com/terms/) also allow a renewal increase of up to 5%, with qualifications around the agreed scope and pricing. Its Recruiting App sits within a broader HR purchase. A quote for that package needs to be compared with the HR and recruiting work you actually require.

[Tellent Recruitee's June 2026 terms](https://recruitee.com/terms) describe renewal calculations excluding discounts and possible repricing when an employee maximum is exceeded. A first-year concession can therefore make the second term look expensive even without a comparable increase in the underlying rate.

Review access separately. [Ashby's seat-pricing documentation](https://docs.ashbyhq.com/seat-based-pricing) explains paid elevated-access and organization-admin seats on applicable plans, while limited-access and agency users are free. Purchased seats cannot simply be reduced for a mid-term credit; renewal is the point to discuss a reduction. Foundations uses a different, company-size-based model. Calling all Ashby plans “per seat” would miss that distinction.

The market also supplies counterexamples. [Workwise](https://hire.workwise.io/hilfe/produkt-feedback/faq-workwise) offers free applicant tracking alongside paid recruitment services. [Taleez](https://taleez.com/tarifs) says it has not increased prices for existing customers for ten years. That is the provider's claim, rather than an independently audited guarantee, but it belongs in a fair comparison. Renewal inflation is a reason to inspect your bill, not a universal property of ATS software.

## Find the cancellation deadline before comparing products

The last day to prevent another term can arrive well before the renewal date. Read the executed agreement now and record the deadline, recipient, required notice method and evidence that notice was accepted.

Recruitee's published terms generally describe annual renewal and 90-day non-renewal notice. Personio's annual-contract terms also describe 90-day notice. [Onlyfy's pricing conditions](https://onlyfy.com/de/produkte/bewerbungsmanager/preise/) describe a twelve-month minimum, three-month cancellation notice and automatic extension. These are examples, not a default deadline for every ATS or every negotiated order.

Monthly payment can still finance an annual commitment. Recruitee's pricing page states a one-year minimum even where payment is monthly. Ask separately about the payment schedule and the contract term; a monthly invoice does not prove you can leave next month.

Create a renewal decision sheet with six entries:

- Current term, renewal date and valid non-renewal deadline.
- Current annual total and next-term total, with every changed line explained.
- People, jobs, integrations and modules the team actually needs.
- Export contents, missing history and proposed archive access.
- Switching costs, including overlap and internal setup time.
- A named owner and decision date early enough to act.

If the deadline has already passed, confirm the options in writing. Negotiate scope, unused access or the next term while testing an alternative. Do not promise a switch date before understanding the remaining commitment.

## What do 24 US and EU ATS offers reveal?

They reveal different purchasing models, not a reliable cheapest-to-most-expensive league table. Public floors, suite quotes and enterprise agreements are not equivalent orders. These tables name twelve products in the US market and twelve with EU operating entities or headquarters; ownership and sales footprints can cross borders.

Each link leads to the vendor's own commercial or product material. “Confirm” means the selected order still needs checking. Dynamic prices and conflicting official amounts have deliberately been left out.

This is a product landscape, not twenty-four independent corporate groups. Workable also has Greek roots and a US presence. The UK and Switzerland are outside the EU count; stale Occupop pricing and JOIN's Swiss parent have not been relabeled to fill it.

Ask shortlisted vendors to quote the same workload: active jobs, paid participants, required access rights, calendar setup, HR integrations, data export and advertising. ## Why is Kit a practical answer for a small hiring team?

Kit gives a small team a published subscription unit and a hiring workflow it can test before committing to a move. The relevant unit is each paid teammate on the account, rather than every employee in the company.

At the checked [USD price](/pricing?currency=usd), ten paid teammates cost $80 a month, or $800 for an annual subscription, before applicable tax. Paying monthly for twelve months would total $960. An occasional interviewer who becomes an account team member still counts; low login frequency does not make that membership free. Candidates do not count as paid teammates.

Teams can use code assignments and work samples where the role calls for them. Check whether the people making the hiring decision can complete those steps with the access they need.

AI-assisted work has a concrete boundary. A candidate reply staged through Kit's MCP tools remains a pending draft until a human chooses **Confirm & send**. That helps a team prepare replies without treating an AI draft as sent correspondence. It does not mean every automated stage rule or notification has the same confirmation step.

Keep the full purchase visible. Hiring is included in the base subscription; Outreach is separately billed. AI access has an allowance, and your own provider keys or external AI client can incur separate charges. Partner subscriptions, job-board credits and paid advertising also remain external costs. Included integration access does not pay those bills.

Kit's own [terms](https://startupkit.app/terms) provide for automatic renewal and notified price changes. The current rate is a dated comparison input, not a promise that prices can never change. The trial lasts 30 days, requires a card and must be cancelled before it ends to avoid the subscription charge.

## Test the export before promising a migration

A usable exit package is more than a spreadsheet of names and email addresses. Check resumes, attachments, interview notes, evaluations, messages, source records, offers and the identifiers that connect them.

Workable's [candidate-export documentation](https://help.workable.com/hc/en-us/articles/115014887828-How-do-I-export-candidate-data) distinguishes export routes. Its candidate-details CSV does not include resumes and files; a fuller migration package involves support. [Ashby's billing FAQ](https://docs.ashbyhq.com/billing-faq) describes manually processed exports requested through cancellation. Neither example proves an instant, complete download for your account. Ask for the actual scope and turnaround before setting the cutover date.

Kit supports bulk PDF and DOCX CV import with human review and duplicate handling. That is not proof it can reconstruct another ATS's complete notes, scorecards, messages, consent history or audit trail. Preserve required historical records in an appropriately restricted archive or the old system, and include the cost of that access.

Choose a representative record containing a CV, review, candidate reply and supporting attachment. Identify what exports, what can enter Kit and what must remain in the archive. Check that an authorized colleague can retrieve the archived record when needed. Do this before cancelling; confirm any post-cancellation access window in writing.

During the transition, keep control of career-page links, job-board application URLs, scheduled interviews and inbound mail. Candidates should not need to discover which of two systems holds their next appointment. Assign responsibility for each live role until the new workflow is proven.

## Calculate the first year after switching

Compare the renewal with software, providers, overlap, migration help and internal setup work. Separate cash spending from the value of staff time so the result does not disguise capacity as money returned to the bank.

Consider a hypothetical $6,000 annual renewal, not a published price for any named vendor. Ten Kit teammates on the checked annual USD plan cost $800. The apparent recurring difference is $5,200 before tax and other services.

Now suppose the move needs $1,000 of old-system overlap and archive access, plus $600 of external migration help. The first-year cash difference falls to $3,600. If setup and training consume 40 internal hours valued by the buyer at $50 an hour, that uses another $2,000 of capacity. The economic difference becomes $1,600; the cash calculation still treats staff time separately.

Those are illustrative inputs, not a savings claim. Your renewal might be lower, the transition harder, or the provider spending different. Do not annualize a one-off migration fee forever, omit continuing archive charges, or subtract a module the team still needs elsewhere.

Price the option to stay as well. Removing unused paid access, changing a package or negotiating the next term may improve the existing quote enough to make migration unnecessary. A functioning incumbent with a fair revised price can be the better result.

## Run two roles through Kit before making the decision

Use the trial to test your required work, with authorized candidate data and an explicit cutover owner. Choose two representative roles rather than the easiest possible demo.

For each role, verify an application reaches the right stage, reviewers can provide feedback, a real interview can be booked with the required calendar setup, and the candidate conversation reaches the intended recipient. Test a draft and its confirmation, an offer workflow, and an export. Record any manual steps or missing integration that would recur after launch.

The switch passes only when the recurring price is clear, the required hiring work succeeds, the historical archive remains usable, and the first-year calculation still makes sense. Confirm that valid non-renewal notice can reach the incumbent in time. If one of those conditions fails, negotiate, defer the move or retain the current ATS.
