Candidate Profiles
How to view, search, and manage candidate information across all their applications.
Why It Matters
A candidate might apply to multiple roles over time. Their profile gives you a single view of who they are and where they stand across all applications — so you never lose context.
Viewing a Candidate
Each candidate has a profile page showing:
- Header — Name, email address, and phone number
- Applications — A list of every application they’ve submitted, with status badges and the current stage name
From the candidate profile, click any application to jump directly to its detail page and see the full pipeline view.
Application Statuses
Each application shows a status badge indicating where it stands:

| Active | Blue | Candidate is in the pipeline, shows their current stage |
| Rejected | Red | Application was rejected by your team |
| Withdrawn | Gray | Candidate withdrew their application |
| Offered | Green | An offer has been extended |
These badges appear on the candidate profile and throughout the application list views, giving you an at-a-glance understanding of every candidate’s status.
Finding Candidates
Navigate to Hiring > Candidates to see all candidates across your account. Use the built-in tools to narrow down who you’re looking for:
- Search — Find candidates by name or email address
- Filter by job — Show only candidates who applied to a specific job posting
The candidates list is sorted with the most recent applicants first, making it easy to stay on top of incoming applications.
Quick Fields
Quick fields are custom metadata fields attached to a job posting. They appear in the candidate sidebar on the application detail page, providing at-a-glance reference information.
What They Are
Quick fields capture data that doesn’t belong in a stage but is useful throughout the hiring process — things like salary expectations, availability, or work authorization status. They’re defined per job posting, either through a process template or manually.

Editing Quick Fields
Quick field values are editable inline on the application detail page. Click the field value to update it. Changes are saved immediately and visible to all team members with access to the job.
Candidate Communications
Each application has an email thread tracking all correspondence between your team and the candidate.
- Sent — Emails your team sent to the candidate (stage notifications, rejection emails, custom messages)
- Received — Emails the candidate sent in reply
Messages are tagged with Sent or Received badges so you can follow the conversation at a glance. Click any message to expand and view the full content.
Notes
Notes let your team capture observations, feedback, and context about a candidate directly on their application.
Adding a Note
Click Add Note on the application page to open the editor. Notes support rich text formatting — bold, italic, lists, and links.
@Mentions
Type @ followed by a team member’s name to mention them in a note. Mentioned team members receive a notification, making it easy to loop someone in on a candidate discussion.
Confidential Notes
Toggle the Confidential flag when creating a note to restrict its visibility. Confidential notes are only visible to admins, keeping sensitive feedback (e.g. compensation discussions, internal concerns) private from general team members.

- Mark sensitive notes as confidential when appropriate
- Use @mentions to notify team members about important candidate updates
