Checking Candidate Interest
Send selected candidates a check-in, track their answers, and let them withdraw explicitly without treating silence as a decision.
Ask Whether the Candidate Wants to Continue
After a long wait, ask candidates whether they still want to continue. An interest check sends one email per selected application. Candidates can confirm their interest or withdraw; no response leaves the application active.
Use clarification requests for questions about specific candidate data. Candidate stall nudges handle an invited booking or submission step that the candidate has not completed.
Send a Check-In
Administrators and the posting’s hiring managers can send checks when they have Hiring access and access to the posting.
- Open a published or paused job posting. In its actions menu, choose Check candidate interest. For one application, use the same action in its Candidate interest section.
- Review each candidate’s current stage, last contact or application date, and latest check-in. People waiting longest since candidate-facing contact appear first.
- Check individual recipients or use Select available on this page, up to 100 candidates on the current page. Nobody is selected by default. Clear selection unchecks the current page.
- Read Email preview. The fixed message uses the job’s communication language, apologizes for the wait, and acknowledges that the delay is on the hiring team’s side.
- Check the selected count, then choose Send check-in to selected candidates.
Use Filters to search part of a name or an exact email address, choose a current stage, or require at least 7, 14, 21, 30, 60 or 90 days since the last contact. Email search requires the full address. Check-in availability defaults to All candidates; choose Can receive a check-in or Unavailable to narrow it. On a phone, expand Filters, then use Apply filters or Clear filters. Filtering and individual checkboxes work without JavaScript.
The matching-candidate total covers all result pages; availability counts only this page; the selected count covers the recipients you checked. Selecting the page never selects other matching pages. Changing filters or pages clears the selection and never sends email. If validation fails, the filters, page and available checked recipients remain.
Kit validates the whole selection before queueing it. If any selected application is unavailable, no part of the batch is queued. The account’s outbound email limit also applies. Queueing does not mean the email has been sent.
Who Can Receive a Check-In
An application must be submitted and active, with an email address, on a published or paused job posting. Imported prospects, anonymized records, rejected or withdrawn applications, hires, and applications with an offer are unavailable. Kit also excludes applications awaiting an invited candidate booking or submission task.
Only one unanswered, unexpired check-in can be open per application. A new request must also wait at least 7 days after the previous request, even if that request was answered or delivery failed.
Kit checks eligibility again before sending. Changes to the candidate’s identity or email address, the application, the posting, or the sender’s access can prevent queued delivery.
What the Candidate Chooses
The email offers two signed choice links: I’m still interested and Withdraw my application. Each opens a limited response page, without a login, with the matching confirmation ready. Opening either link never records an answer or withdraws the application, including when an email scanner follows it. These choice links do not open the full candidate portal.
- Confirming I’m still interested records a dated answer for the hiring team. The application stays at its current stage.
- Withdraw my application reveals a separate confirmation. The candidate must check I want to withdraw this application. and choose Confirm withdrawal. This ends the application, cancels upcoming interviews for the role, and notifies the team. The candidate cannot undo it on this page.
After either choice, the page shows a receipt on return while the link remains available. A recorded answer cannot be changed through the check-in.
The email also includes a separate View my application link. It opens the full candidate portal without a login, using the candidate’s standard 7-day magic link. It is available only in the email, not on the limited response page or through MCP.
Read the Latest Status
The recipient list and the application’s Candidate interest section show the latest check-in and its date. The outgoing email also appears in the application’s email history.
| Status | Meaning |
|---|---|
| Queued | Waiting for delivery to start. |
| Sending | Delivery has started. |
| Awaiting response | The mail system accepted the send. This does not prove inbox delivery or reading. |
| Still interested | The candidate confirmed their interest. |
| Withdrew application | The candidate explicitly confirmed withdrawal. |
| Link expired | The response link has expired. This is not a decline. |
| Cancelled | The check-in is no longer available, for example because eligibility or access changed. |
| Delivery problem | The email could not be sent, for example because of an email limit. |
| Delivery unconfirmed | Kit cannot confirm whether the send completed. It does not automatically resend and risk a duplicate. |

- Call
hiring_list_interest_check_candidateswithjob_posting_id. It lists submitted, identified applicants, including unavailable ones, withrequestable, latest status, the fixed email preview, and its language. Only posting managers or administrators can use this list. Optionalq,stage,contact_ageandeligibilityfilters match the web filters; email search requires an exact address. - Show the named recipients and preview to the user. After explicit approval, call
hiring_request_interest_checkswithjob_posting_id, 1–100 explicitapplication_ids, andconfirm_send: true. This requireshiring_write, an active subscription, and posting-manager or administrator access. It queues individual fixed emails; it does not confirm delivery. - Verify one application’s dated history with
hiring_list_interest_checksandapplication_id. This requireshiring_readand permission to view that application.
Both lists require read access and accept page (default 1) and limit (default 25, maximum 100). Follow pagination before deciding whom to contact. Filtered matches are never an approved recipient list: the send call still needs the user’s explicit application IDs and confirmation. No tool returns response links or tokens, or answers for a candidate.
This fixed-template send is separate from freeform replies: hiring_send_message still creates a draft that a person must review and Confirm & send in Kit. See AI Agent and MCP Tools.
Expiry and Limits
Both check-in choice links expire 14 days after the check-in is requested. A delivery delay reduces the remaining time; the email states the days left. Their expiry is separate from the full-portal link’s 7 days. Changes such as closing or deleting the posting, anonymizing the candidate, or ending the application can make the check-in links unavailable sooner.
Interest checks send no automatic reminder and do not run on a schedule. There is no resend or cancel control on this screen. Silence, delivery failure, and expiry never withdraw or reject an application. Your team still owes the candidate any process update or decision.
